Tourism and travel photography and video production

About The Service

Vantas shoots photography and video production for destinations, attractions and travel brands that need a visitor to picture the trip before planning it. We are based in Dallas and work across Texas and Oklahoma, with national assignments in other U.S. markets. Our work for places people travel to includes the San Antonio Museum of Art and Choctaw Casinos & Resort in Oklahoma.

What we shoot for tourism and travel brands

Photography

  • Landmarks, exteriors and architecture
  • Aerial drone frames of a site, a district or a skyline
  • Museum, gallery and attraction interiors
  • Visitors in the experience, shot with hired talent or released guests
  • Neighborhoods, shops and streets that give a place its character
  • Food, drink and lodging that belong to the trip
  • Festivals and seasonal events

Video production

  • Destination and attraction films for web and paid placements
  • Walkthrough pieces that move a viewer through a space
  • Drone aerials of grounds, buildings and surrounding landscape
  • Short vertical cuts for social, delivered alongside the horizontal version
  • Event and festival recaps that promote the next season
  • Features on the people behind a place: curators, makers, guides, owners

How a tourism shoot runs

It starts with a discovery call with Woody Lawson, our owner and creative director, who also directs the shoot. We ask who the visitor is, what they do not yet know about the place, and where the files will run: your website, paid campaigns, partner channels, press.

Destination work usually means several locations, daylight that will not wait, and other organizations' property. Pre-production handles that before a shoot date is locked:

  • A signed agreement listing deliverables, formats, shoot dates and the delivery date
  • A shot list you approve, grouped by location so the days flow without wasted moves
  • Location walkthroughs, in person or by video
  • Location permission for private property, and film permits where a city or public site requires them
  • Property releases where they apply
  • Drone authorization checked for each site
  • A backup location or date for anything that depends on weather
  • Talent, wardrobe direction and releases when the scenes need people
  • A call sheet sent to the crew 72 hours ahead

On the day, shots are ranked. Hero shots, the ones the project fails without, are scheduled around the best light and confirmed on set before we wrap. The schedule carries buffer time for moves between sites. Crew size runs from two people to fifteen depending on scope.

Post-production covers selects and retouching for stills, and editing, color grading and sound design for video. Revision rounds are written into the scope. You receive retouched high-resolution stills, web-optimized versions, and finished video exports in the cuts named in your agreement.

Projects and retainers

A single production fits a campaign, a new exhibit or attraction, a website rebuild or a season launch. You get a fixed list of deliverables, shoot dates and a delivery date.

A retainer fits a destination that looks different every few months. It sets a monthly scope of shoot time and deliverables, includes a planning session each month, and holds the monthly rate fixed for the initial term. Over a year that builds a library that covers every season and event without starting from zero each time.

What drives cost on either one:

  • Crew size and the number of shoot days
  • The number of locations and the distance between them
  • Travel and lodging for crew when the destination is outside Dallas
  • Permits, location fees and drone work
  • Talent, wardrobe and styling
  • The count of final images and video cuts
  • How and where the work will be licensed, including any use by partners

Questions destination marketers ask

Can partners, members or media use the photos and video?

Our standard agreement gives you a non-exclusive, perpetual license to use the final deliverables for marketing, advertising, web and social media. Vantas keeps the copyright, and passing files to third parties needs written consent. Destination work is often shared with hotels, attractions and press, so name those uses in pre-production and we will write them into the agreement.

Who handles permits and location access?

We sort that out together in pre-production. We pull film permits where a city or public site requires them and get signed permission for private property. Your relationships with local partners usually open doors faster than a cold request, so we ask you to make introductions where you can.

Do you use real visitors or hired talent?

Either, and the choice is made in pre-production. Hired talent gives us control over the scene and a signed release. Real visitors can appear when they are released or not identifiable. We tell you which scenes need which approach when we build the shot list.

What happens if the weather turns?

Outdoor shoots get a backup date or location and a decision deadline, all set before the shoot. If conditions outside anyone's control stop a shoot, our agreement calls for rescheduling in good faith.

Can you cover a destination outside Texas?

Yes. We work in more than ten U.S. markets, pairing creative direction from Dallas with local crew in the market. Travel is scoped as part of the production.
