Hotel and hospitality photography and video production

About The Service

Vantas shoots photography and video production for hotels, resorts and casino properties that need guests to see the property accurately before they book. We are based in Dallas and send crews to properties across Texas, Oklahoma and other U.S. markets, including national assignments. Our hotel work includes Hotel Herringbone in Waco, the launch of an InterContinental Hotels Group property in San Antonio, and Choctaw Casinos & Resort in Oklahoma.

What we shoot for hotels and hospitality brands

Photography

  • Guest rooms and suites, shot for your booking engine, website and sales decks
  • Lobby, public spaces, pool and amenity areas
  • Exteriors and signage, including aerial drone frames
  • Restaurant, bar and in-room dining

  • Details and finishes

Video production

  • Property films for your website and paid placements
  • Talent-led walkthroughs that follow a guest from arrival through a full stay
  • Drone aerials of the building, grounds and surrounding area
  • Short vertical cuts for social, delivered alongside the horizontal version
  • Restaurant, bar and event space features

How a hotel shoot runs

Every project starts with a discovery call with Woody Lawson, our owner and creative director. He takes the call and he directs the shoot. We ask what the property has to communicate, where the current library falls short and where the files will be used.

Pre-production is finished before a shoot date is locked:

  • A signed agreement that lists deliverables, formats, the shoot date and the delivery date
  • A creative brief and a shot list you approve, with reference images when they help
  • A location walkthrough, in person or by video, with your on-site contact
  • Load-in and load-out windows agreed with the property, plus parking and access notes
  • Talent, hair and makeup, and styling booked when the shoot needs them, with releases signed
  • Drone authorization checked, permits pulled where required, and a weather backup for exteriors
  • A call sheet sent to the crew 72 hours ahead

On the day, the shot list is ranked. Hero shots are the ones the project fails without, so they are scheduled first and confirmed on set before we wrap. Shots are grouped by location and the schedule carries buffer time between setups. Crew size runs from two people to fifteen depending on scope.

Post-production covers selects and retouching for stills, and editing, color grading and sound design for video. Revision rounds are written into the scope. Stills are delivered as retouched high-resolution files and web-optimized versions. Video is delivered as finished exports in the cuts named in your agreement. If you have a hard deadline such as an opening date, raise it on the discovery call.

Projects and retainers

A single production fits a defined moment: an opening, a renovation, a new restaurant or bar, a rebrand. You get a fixed list of deliverables, a shoot date and a delivery date.

A retainer fits a property that changes through the year. It sets a monthly scope of shoot time and deliverables, includes a planning session each month, and holds the monthly rate fixed for the initial term. Hotel retainers work best across several months so the library follows the seasons while the look stays consistent.

What drives cost on either one:

  • Crew size and the number of shoot days
  • The number of properties or locations, and travel if the property is outside Dallas
  • Talent, hair and makeup, wardrobe and styling
  • Drone work and any permits
  • The count of final images and video cuts, and how much retouching they need
  • How and where the work will be licensed for use

Questions hotel marketing teams ask

Who owns the photos and video?

Our standard agreement gives you a non-exclusive, perpetual license to use the final deliverables for marketing, advertising, web and social media. Vantas keeps the copyright. Passing files to a third party needs written consent, so if a management company, a flag or a partner needs the library, tell us in pre-production and we will write it into the agreement.

How do you shoot around guests and operations?

That plan is set during the walkthrough. We agree with your team which rooms and spaces are blocked, when we can load in, and which hours work for the lobby, pool and restaurant. Where a scene needs people, we cast talent with signed releases so no guest ends up in a frame without permission.

Do you provide the talent?

Yes, when the shoot calls for it. We source the talent and clear the releases for the usage in your license. If you want to use your own staff or talent, your team handles those clearances.

Can you shoot more than one property, or a property outside Texas?

Yes. We work in more than ten U.S. markets with a roster of local crew, directed from Dallas to one standard. Multi-property projects are scoped as one production with a shot list per location.

Will you provide a certificate of insurance?

We carry general liability coverage for on-location production. If your property or ownership group needs a certificate or additional insured status, tell us early so it is in hand before the shoot date.
